Audit Setup Configurations

Institutions that have just subscribed to Transferology® will follow the steps outlined in Get Started with Transferology: An Onboarding Guide to begin using the application. Phase II of onboarding involves creating and importing Programs, creating Questions and Answers for use with degree programs, and testing and going live with degree audits. During this phase, CollegeSource staff or the institution's technical team will configure the Audit Setup page for the institution within the Transferology® Lab. This article provides an overview of the settings within the page.

The Audit Setup page is restricted to users with the School Administrator or Program Administrator role at institutions that have enabled audits.

To navigate to this page:

Go to the Program Setup menu.
Select Audit Setup.

The following fields will appear on the page and can be adjusted as needed:

Audit response time	The estimated creation time for the degree audit report. The time includes the following steps: Transferology sends the degree audit request to the school. The school’s degree audit server generates the degree audit report. The school sends the degree audit report to Transferology®. Be sure to specify the time measurement in the field, i.e., day or hours. For example, 3 minutes, 1 day, or 45 seconds.	No
Audit InstIDQ	The desired institution code type used to identify schools within the degree audit system. The audit InstIDQ typically uses the following: 71 (for IPEDSID) 72 (for ATP) 73 (for FICE) 74 (for ACT) However, any two-character value can be defined, including spaces. Institutions Using the Connector: This value is the institution's InstIDQ. Non-Connector Institutions: This value will be specified by the EntityIDCodeQualifier element of the External Degree Audit Guide Interface Specification.	No

EDAG XML data method	Instructs Transferology on the proper method to send the degree audit request to the school’s degree audit server. Audit InstID	The code used to identify the Transferology-subscribing institution. The value should be a valid code within the code type defined in the Audit InstIDQ field. For example, schools using IPEDSID place the institution's IPEDSID code in this field. Institutions Using the Connector: This value is the institution's InstID. Non-Connector Institutions: This value will be specified by the EntityIDCode element of the External Degree Audit Guide Interface Specification.	No
Allow audit to wrap	This field identifies whether text within the audit can be adjusted for better display within the application. Drop-down options for audit wrapping include the following: Yes No (The audit will display exactly as received.)	Yes
EDAG SOAP action	External Degree Audit Guide Simple Object Access Protocol. Defines the SOAP action that Transferology sends as part of the SOAP request only when *SOAP HTTP Request body* is chosen as the above EDAG XML data method. Audit InstCD	Typically left blank, the Audit instCD field identifies the instCD value of the institution. Institutions Using the Connector: This value is the institution's InstCD. Default Grade	This field is blank by default. The default grade for all non-military and non-exam courses on an audit request is "C." If this field is populated, the grade entered will be used for all non-military and non-exam course grades on audits.	No
Program current year only	Checkbox that instructs Transferology of the proper catalog year/term for a degree audit request. When marked, Transferology uses the current year term, as long as the program’s fyt value is not in the future. When the fyt is in the future, Transferology uses the program’s fyt. When unchecked, Transferology uses the program’s lyt value for the program’s catalog year/term.	No
Allow Reference Audits	Checkbox instructs Transferology whether to run an audit as a reference articulation. Left unchecked, users will not see the following (reference audit) prompt when requesting audits:	No
Apply Conversion to WCTS Courses	Transferology uses internal codes for Wisconsin Community and Technical College courses to help facilitate Match results. Checking this box will cause these internal codes to be submitted in the audit request rather than the transcript code.	No

Click the Save button to conserve changes after customizing fields and checkboxes.

Institutions may wish to request CollegeSource recache the college or university's catalog data if the school supplies degree audits through uAchieve and:

Has recently added new courses to the encoding.
Has made corrections or updates to its catalog in TES®.

Recaching ensures that students and staff viewing an audit see course descriptions when choosing a course from the Select From list. For further assistance, contact Transferology Support via the Help button on any page within the Transferology® Lab.

Reference Articulation

A Reference Articulation audit is a degree audit that includes both home courses and a transfer institution's course equivalents in the sub-requirement course list on the audit. Transfer institution equivalencies are provided from the transfer articulation rules of the home institution. Both reject and accept lists will display any courses from the transfer institution connected to the encoded courses of a sub-requirement. For students with transfer work from the institution of the reference articulation, their courses can be articulated and applied to the audit simultaneously. Home and previously evaluated transfer courses will also be included, if present, as on a regular degree audit.

Two values on the Audit Setup page must be set to determine whether to show the list of xref schools during the audit process:

Audit request format.
Degree audit system.

When set, the user running the audit will receive the following prompt:

After selecting Yes, the user is prompted to select a school from included coursework, or select a different school by typing in and selecting the name of the institution.
