Recruit Students

                Recruit Students is an area of the Lab where recruiters can manage the information gathered from prospective students who have initiated contact with their school via the Transferology student application.

                NOTE: Recruit Students functionality is restricted to Recruiters only.

                When exploring transfer options within Transferology, the student has the option to Request Information about a particular school or program. Any student request, regardless of information requested, is copied or routed to the Recruiter.

                In the Transferology Lab, from the Advising & Recruiting tab, click the Recruit Students function:

                Recruit Students Page

                The Recruit Students page provides student information to recruiters. The majority of this page is table-formatted student information (two tabs: Active Leads and Archived Leads). Recruiters may filter this student information, as well as export information to a Microsoft Excel file:

                Student information is contained within two tabs on the Recruit Students page:

                1. Active Leads
                2. Archived Leads

                The Recruiter may toggle between tabs to track student progress throughout the recruiting process.

                Active Leads Tab

                The Active Leads tab (default) provides a listing of information for all of the students who have initiated contact with the recruiter's school listed. Many of the text fields and buttons on the Active Leads tab are hyperlinks:

                The Type column contains three icons (Financial Aid,
                Admissions, Campus Visit) that are color-coded to the
                key in the Status box: 


                In this example:

                NOTE: Using the mouse hover, a green checkmark
                appears over black icons.

                The checkmark will not stay displayed over the black
                icon unless clicked.

                Alternately, the Recruiter may remove green
                checkmarks from icons using the hover/click
                method:

                To check a student request off the list as "done":

                Note that this check/uncheck method is a simple way
                for Recruiters to visually track their own workflow.
                Program Lists the name of the Program, if applicable
                Advise Displays the current status of student advising:
                -Advising Done
                -Advising Needed
                -Advising Not Requested
                    (→ Mark as Needs Advising)  optional

                When the Recruiter hovers over the gray Advising Not          

                Requested flag, a blue outline appears. Upon mouse

                click, the flag will turn black to indicate Advising

                Needed. In this way, the Recruiter (as well as the

                student) may request Advising for a student.

                Archive Click the Archive button to remove the recruited
                student from the Active Leads tab back to the
                Archived Leads tab

                NOTE: Student may be returned to the list of active
                recruits by navigating to the Archived Leads tab and
                clicking the Archive button again under the
                Un-Archive column:

                Filter

                Since the table of student information on the Recruit Students page can be quite extensive, 
                filtering allows the recruiter to control the display of the information.
                Filter Field

                The Filter Field is above the student information table, where the recruiter may type in a student

                name, email address, or program to filter students.

                Filter Box

                The Filter box allows for filtering by date range field, with additional checkbox parameters for

                filtering by student needs: Admissions, Financial Aid, Campus Visit, Veteran's Resources, 

                Programs, Needs Advising, and Verified e-mail Address.

                Date Range

                Click in the date range field to view a drop-down menu of common choices:

                • Today
                • Yesterday
                • Last 7 Days
                • Last 30 Days
                • This Month
                • Last Month
                • Custom Range
                NOTE: If you are not seeing the results you expect in the Student Recruit Info table, check the
                date range filter. Excessive filtering can severely restrict match results. The default setting for the
                data range filter is the past 30 days.

                Some of these options (e.g., Custom Range) will prompt a monthly calendar to pop-out on the left:

                Admissions checkbox Click to place a checkmark in this box to specify that those students with a declared interest in Admissions be included in the filter results
                Financial Aid checkbox Click to place a checkmark in this box to specify that those students with a declared interest in Financial Aid be included in the filter results
                Campus Visit checkbox Click to place a checkmark in this box to specify that those students with a declared interest in a Campus Visit be included in the filter results
                Veterans Resources checkbox Click to place a checkmark in this box to specify that those students with a declared interest in Veteran's Resources be included in the filter results
                Needs Advising checkbox Click to place a checkmark in this box to specify that those students with a declared interest in Advising be included in the filter results
                Verified email address checkbox Click to place a checkmark in this box to specify that those students with a Verified Email Address be included in the filter results
                Clear Filters Clears all filter constraints placed on the student data that were performed within the Filter Box

                Archived Leads Tab

                The Archived Leads tab provides a listing of information for all of the students who were moved from the recruiting Active Leads tab.

                Description

                NOTE: Student information is never deleted from the Archived Leads page.

                Filtering

                Export to Excel

                Recruit Students contains the Export button in the upper-right part of the screen above the Filter box. Export will export the student data on the current page into Microsoft Excel, where it may be useful for implementing changes to transfer rules. The data is arranged according to the columns in the original format, but also includes some additional information, including whether the student is interested in a Campus Visit, has completed Admissions process, and needs assistance with Financial Aid.
