User Role Permissions for Lab Functionality

This article is designed to give the Transferology® Lab School Admin an overview of the user roles required to access functionality within the Lab. This document can be referenced when determining what roles are appropriate for the staff and faculty members at an institution.

Functionality

Access to the functionalities in Transferology Lab is determined by assigned user role(s) within the application. Below is an expanded view of all functionality available in the submenus within the Lab:

Additionally, within the Transferology Lab test environment, School Admins at institutions supplying local catalogs will see one additional item in the School Profile menu - Course Catalog Import/Export.

The Course Catalog Import/Export submenu is highlighted in the School Profile menu.

While most institutions use TES® as the source of course catalog data, some schools opt instead to provide Transferology with a CSV file of this information. This functionality uploads the local catalog. Once a catalog has been tested in this environment, the School Admin should contact CollegeSource to make it available in production. User Roles

The School Admin manages user roles within the Users tab of the School Profile.

All active Transferology Lab users (with the exception of those with the Tech Support role) will have access to the following areas/functionalities in the Lab:

Nine roles can be assigned within the Lab to access additional functionality.

  1. Advisor

The Advisor role can be assigned to academic advisors and counselors to help support prospective and current students. This role grants access to various functions, including Transfer Equivalencies, Replacement Courses, Course Bundles, Program Pathways, Advising Students, TES Evaluations, and Statistics reports.

  1. Program Admin

The Program Admin role is primarily focused on managing academic program information in Transferology. This role allows users to create Category Mappings and Crosswalk Mappings and is one of the two roles that can access the Manage Programs and Year Term Conversions functionalities.

  1. Recruiter

The Recruiter role is designed to enable users to actively manage and respond to prospective student inquiries. This role has access to the same functionality as the Advisor role, except for Advise Students, and adds Recruit Students.

  1. School Admin

The School Admin role has access to all functionality within Transferology Lab. It is responsible for managing the School Profile, creating/editing/removing users, creating the institution landing page, and viewing student and lab statistics.

  1. State Coordinator

The State Coordinator role is responsible for creating state and/or system landing pages for all member colleges and universities.

  1. Tech Support

The Tech Support role is designed for users who access the Lab for technical support. This role has limited access to the Lab and includes setting up audits, configuring SIS imports, and creating the institution's landing page.

  1. TES Evaluator

The TES Evaluator role is for users who are responsible for initiating and managing course evaluations using TES (Transfer Evaluation System). This role allows access to the Request TES Evaluations functionality.

  1. Transfer Pathway Admin

The Transfer Pathway Admin role is responsible for managing and publishing transfer pathways in the Transferology Lab.

  1. Transfer Specialist

The Transfer Specialist role is focused on managing and evaluating transfer credit information and has access to functionalities such as Manage Source Schools, Category Mappings, Crosswalk Mappings, and Glossary Messages. This role can also access the Popular Courses and Unknown Equivalencies areas.

The chart below provides further information about the permissions required to access additional areas of the Lab. To view this chart in Transferology Lab:

  1. Go to the School Profile menu.
  2. Select School Management.
  3. Select Users.
  4. Select See Role Permissions.
